Health Policies

 

+ Late Cancelation Policy and Fees

  • Your appointment time is reserved just for you. A late cancellation or missed visit leaves a hole in the therapists’ day that could have been filled by another patient. As such, we require 24 hours notice for any cancellations or changes to your appointment. Clients who provide less than 24 hours notice, or miss appointments, authorize Wellness Within to charge their credit card on file for cancelled or missed appointments or overdue balances. Clients who provide less than 24 hours notice will be charged a cancellation fee of $20.00. Clients who do not provide notice and are a "No Show" will be subject to a fee of $40.00. Clients who frequently cancel without adequate notice will not be permitted to continue to schedule online without making prior payment arrangements. If you do late cancel and we do charge a fee, we will send an email receipt to the email provided above. As the massage therapist is on commission this fee will help make up for lost income by a late cancelation.

+ Late Arrive Policy

  • Incomplete intake forms or arriving after your appointment time may result in lost time from your treatment as we are unable to exceed that reserved time without affecting the next client session. Full-service fees will be charged even when sessions are shortened due to late arrival. Your insurance will only apply coverage for the amount of massage you received and not what you were scheduled for. Paying for the difference will be the responsibility of the client and not the insurance company.

+ Cancellation Policy

  • Please inform Wellness Within of any cancellations or changes of appointment at least 24 operating hours prior to the start of your scheduled appointment.
  • Failure to do so will result in a payment of 50% of that service. Payment will be the responsibility of the client directly and not of the auto insurance or extended health benefits.
  • All new clients will require to sign a waiver & consent form which will include putting your credit card on file for this charge.
  • Upon booking an appointment with us, you agree to abide by this policy.

Movement (Yoga+Barre+Fitness) Policies

 

+ Monthly Membership Details

  • Payment withdrawn monthly via Mastercard or Visa only
  • Membership automatically renews every month
  • Cancel anytime with 30-days notice
  • Memberships can be placed on hold for only one month at a time.
  • $40 +gst NSF fee to be applied if monthly payment is declined
  • Memberships may not be transferred or used by another individual

+ Reservation & Cancellation Policies

  • Classes start at the time indicated on the schedule. Once the door is closed, there will be no late attendance allowed.
  • Pre-registration is a great way to secure your spot in the class and can be done online and through the mindbody app.
  • Payment is required prior to pre-registration for classes and workshops.
  • You can reserve a class 2 weeks prior to the scheduled class and upto 30 mins prior to the start time.
  • If you must cancel your registration, we do require 4-hour notice, so other participants can take your spot in class.
  • Cancellations with less than 4 hours notice are considered a late cancellation and is subject to a $10 fee for memberships, or the loss of the drop-in or one-class from your 10-class pass.
  • Canceling your reservation for a workshop/event within 24 hours yeilds no refund or instore credit.Canceling your workshop reservation with more than 24 hours, your purchase will be returned to your account for an instore credit.
  • Unused passes/memberships/personal training sessions are refundable for instore credit only.
  • Children ages 12-15 can join a class with a parent/guardian. Children aged 16 and older can attend by themselves.

+ Membership and Class Pass Refund Policy

At The Movement, we value your commitment to your health and wellness journey through our classes and memberships. To ensure clarity and transparency in our policies, we have established the following guidelines regarding memberships and class passes:

  • Non-Refundable Policy: Memberships and class passes purchased are non-refundable. This policy is in place to maintain the continuity of our services and uphold fairness to all members and participants.
  • Transfer to In-Store Credit: In the event of unforeseen circumstances that prevent you from taking classes.We offers the option to transfer the value of your unused membership or class pass to an in-store credit. To initiate this transfer, please contact our customer support team as soon as you become aware of your inability to attend classes. We will work with you to determine the appropriate credit amount based on the remaining value of your membership or class pass. The in-store credit can be used towards future class registrations or any other products or services offered.

+ Etiquette

  • Remove Your Shoes: Bare feet for yoga. Sticky socks for Barre. Shoes for spin and fitness

  • Turn Off Your Cell Phone: Or simply don’t bring it into the room, using our complimentary lockers.

  • Arrive 5-10 Minutes Early: This allows plenty of time to settle in

  • Put Your Props Away After Class: If you’ve used blocks or straps, place them back the way you found them. Fold your blanket; don’t just drop it in a heap. If you borrowed a mat from the studio, wipe it down before replacing it.

  • Respect the Space: Practice silence during yoga. We encourage chanting and laughter during Fitness classes. Never adjust the lights, fans, windows, or thermostat without permission.

  • Honor Your Limit: Respect your body, and work within its limits in fitness and yoga. For your safety, as well as respect for the teacher and other students, do not go to a class that is beyond your current level. Ask for modifications and practice your moves with control.


Massage Frequently Asked Questions

 

+ What type or how much pressure should I get?

  • The amount of pressure is a personal preference and with over 20+ massage therapists, we can cater to all preferences.
  • A relaxation massage is a typical spa massage with a focus on de-stressing. Treatments are based off of more traditional Swedish techniques, such as kneading, with light to medium pressure. Don't feel bad if you fall asleep as thats a sign of a good relaxation massage. Look for therapists with a pressure preference below 5 in our therapist bios.
  • Therapeutic massages use more clinical techniques to help address chronic health issues. Feel free to come in to your appointment with specific issues in mind and let the therapist know about your health concerns prior to the start. Temporary relief can often be experienced after the first visit but long term/permanent results will often require regular visists and home care.
  • Therapeutic massages

+ How early should I be for my first appointment?

  • Arrive at least 15 minutes prior to your first appointment so you can get settled and complete the medical health history form.

+ To what level do I undress

  • Our therapists will work with you at the level you feel most comfortable. Most individuals undress to the level of their under-garments as that provides the most area for the massage therapist while also adding that extra level of privacy.

+ How can I pay for my massage?

  • We accept all major forms of payment including Cash, Debit, Mastercard & Visa. We do not currently accept cheques

+ Do I need a Doctor's referral?

  • I doctor's referral is not required for a massage but a few extended health insurance companies due require one for their insurnace benefits. Please check this with your personal insurance company prior to coming in for an appointment.

+ How much will my benefits cover?

  • Every insurance benefit plan is different. It is best to check with your insurance provider for your specific plan options. We can run a pre-approval before you book if you would like.
